Team Management
Manage users, Team Profiles, and roles.
Three tiers of people
pro-posal.io has three distinct tiers of people, each with different levels of access and visibility.
Users
People who can log in, create proposals, manage settings, and participate in conversations. Assigned a role: Owner, Manager, or Team Member.
Team Profiles
People who appear on proposals (in the Meet the Team section, Specially Prepared For, etc.) but cannot log in. Available on all plans.
Proposal-only members
Added directly to a single proposal for freelancers or one-off collaborators. They do not appear elsewhere in your account.
Roles
Every user is assigned one of three roles. Roles determine what a person can see and do within the platform.
Owner
Full access to everything: proposals, settings, team management, billing, and integrations. The owner account cannot be removed. Every company has exactly one owner.
Manager
Managers can manage the team, review proposals submitted for sign-off, and send proposals to clients. They have access to all proposals across the company, not just their own.
Team Member
Team members can create and edit proposals assigned to them. They cannot access other users' proposals, manage team settings, or send proposals if sign-off is required (the proposal must be approved by a manager or owner first).
Inviting users
Inviting users is available on the Team planonly. To invite a new user, go to Settings > Team, enter their email address, and select a role. They will receive an invitation email with a link to set up their account.
The Solo plan supports one user. The Team plan supports up to five users.
Team Profiles
Team Profiles are available on all plans, including Solo. These are people who appear on your proposals but do not have their own login. Add them from Settings > Team.
For each Team Profile, you can set a name, job title, bio, photo, and signature. They will be available to select in the Meet the Team section, the Specially Prepared For sender dropdown, and anywhere else team members appear.
Sign-off workflow
The sign-off workflow is a Team planfeature that lets managers and owners review proposals before they are sent to clients. When enabled, a proposal moves from "draft" to "in review" status, and a manager or owner must approve it before it can be sent.
Per-user settings
Sign-off can be configured per user. Some team members may require approval on every proposal, while others (more experienced staff, for example) can be marked as exempt and send proposals directly.
Per-proposal override
Even when a user normally requires sign-off, this can be toggled on or off for individual proposals. This gives you flexibility for urgent situations or low-risk proposals that do not need review.
