Settings Overview
Configure your company, branding, team, and integrations.
Settings are organised into four groups in the sidebar: Company & Brand, Proposals, Content Library, and Account. Open Settings from the main navigation to access them.
Company
Your company name, subdomain, registered address, about us text, and registration or VAT numbers.
Brand
Logos (light and dark), default cover image, brand colours, heading and body fonts, and section background colours.
Team
Invite users (Team plan), manage Team Profiles (all plans), and assign roles.
Templates
System templates and a custom template builder for standardising proposal structures.
Snippets
Saved section content you can insert into any proposal, editable with real section editors.
Testimonials
Manage client testimonials with default formatting, ready to drop into proposals.
Case Studies
Create and publish detailed articles showcasing your past work and results.
FAQs
Build a library of frequently asked questions to include in proposals.
Big Numbers
Define key statistics and metrics to showcase your experience at a glance.
Small Print
Manage terms, conditions, insurance certificates, and other legal documents.
Media Library
Browse and manage uploaded files across categories, all in one place.

Company
The Company tab holds your core business information. Set your company name, which appears on proposals and in the dashboard. Your subdomain determines the URL your clients see when viewing proposals. You can also add a registered address, an "about us" description, and any registration or VAT numbers that should appear on your documents.
Brand
Brand settings control the visual identity of every proposal you send. Upload two versions of your logo: a light version for dark backgrounds and a dark version for light backgrounds. Set a default cover image that new proposals will use automatically. Choose your primary and secondary brand colours, and select heading and body fonts to match your style guide.
You can also configure section background colours, which are applied to alternating sections throughout your proposals to create visual rhythm.
Team
The Team tab has two parts: Users (people who can log in and use the platform) and Team Profiles (people who appear on proposals but do not have login access). Users are available on the Team plan, while Team Profiles are available on all plans, including Solo.
There are three roles for users: Owner (full access, cannot be removed), Manager (can manage the team, review proposals, and send them), and Team Member (can create and edit proposals assigned to them). For full details, see Team Management.
Templates
Templates define the default structure for new proposals. pro-posal.io includes system templates for common use cases, and you can build custom templates from any existing proposal. When you or Paul creates a new proposal, the chosen template determines which sections are included and in what order.
Snippets
Snippets are reusable pieces of section content. Create a snippet from any section type, and it is saved with its full content, layout, and formatting. When adding a section to a proposal, you can insert a snippet instead of starting from scratch. Snippets are editable with the same section editors you use in the proposal editor.
Testimonials
Manage your library of client testimonials here. Each testimonial includes a quote, author name, role, company, and optional avatar. When you add a Testimonials section to a proposal, your saved testimonials are available to select with default formatting already applied.
Case Studies
Create detailed articles about your past work. Each case study can include a cover image, client name, location, event date, summary, full article content, key stats, a testimonial quote, and gallery images. Published case studies have their own public URL that clients can visit.
FAQs
Build a library of frequently asked questions. Each entry has a question and a plain-text answer (line breaks and web links are preserved). When you add an FAQ section to a proposal, your saved questions are available to select, and you can add proposal-specific questions alongside them.
Big Numbers
Define key statistics that highlight your experience, such as "500+ Events Delivered" or "98% Client Satisfaction". Each stat has a number, label, and optional icon. These are available to pull into Big Numbers sections across your proposals.
Small Print
Upload and manage legal documents such as terms and conditions, insurance certificates, health and safety policies, and any other supporting paperwork. Each document has a visibility mode (mandatory, default on, or optional) and an optional expiry date. Expiring documents trigger warnings in your dashboard.
Media Library
The Media Library gives you a central place to browse and manage all files uploaded across your account. Files are organised into categories, and you can search, filter, and delete from this view. Images uploaded to proposals, team member photos, and logos all appear here.
VAT & Currency
Control how VAT appears on your quotations. Choose from three display modes: Shown (VAT is calculated and displayed), Hidden (VAT calculated but not shown to the client), or None (no VAT applied). Select your preferred currency, which is used across all quotation sections.
Integrations
Connect external tools to streamline your workflow. Currently, pro-posal.io supports Current RMS for CRM data and quotation pulls. Stripe Connect for payment collection is coming soon. For setup instructions, see Integrations.
Billing & Account
View your current plan (Solo or Team), check your billing cycle, and manage your subscription. You can upgrade, downgrade, or update your payment method from this tab.
Profile
Your personal settings. Update your name, avatar, job title, bio, and signature. Your signature appears on the Specially Prepared For section when you are selected as the sender. Set your reply-to email address, which is used when clients respond to proposal notifications.
